This policy covers this website and the messages you send us directly. It does not cover websites or services run by other companies, including Cotara. Cotara is operated by Cotara Technology LLC, a separate company, and its own privacy policy applies when you use its website or platform.

If you email us, we receive your name, email address, any organization or role details you include, and the content of your message and any attachments.

Technical information

When you load this website, our hosting provider automatically processes standard technical information so the page can be delivered and protected: your IP address, browser and device type, the page requested, the referring page, and the date and time. This is held in short-lived server logs.

What we do not collect

• We do not use forms, accounts or sign-ins on this website.

• We do not knowingly collect sensitive information, and we ask that you do not send it to us.

• To read and reply to your message.

• To meet our legal obligations and to establish or defend legal claims.

We will not add you to a mailing list or send you marketing messages unless you ask us to or otherwise consent.

When you email us, you consent to us using your information to respond and for the related purposes above. You can withdraw your consent at any time by writing to hello@usecoterie.com, subject to legal or contractual limits. If you withdraw consent, we may not be able to continue a conversation with you.

6. Who we share it with

We share personal information only when needed, and only with:

• Service providers that host this website (Vercel Inc.) and provide our email service. They process information on our behalf and under contractual protections.
• Professional advisers, such as lawyers and accountants, under a duty of confidentiality.
• Authorities, when required by law or to protect our rights, safety or property.
• A successor organization, if Coterie is involved in a merger, financing, acquisition or sale of assets, under obligations to protect the information.

We do not sell or rent personal information.

7. Where it is stored

Our service providers may store and process information in Canada, the United States or other countries. Information held outside Canada is subject to the laws of that country and may be accessible to its courts and authorities. We use providers that offer contractual safeguards for personal information.

8. How long we keep it

We keep correspondence for as long as needed to respond and to maintain reasonable business records, and then delete it or keep it only where the law requires. Server logs are kept by our hosting provider for a short period for security and reliability.

9. How we protect it

We use reasonable physical, organizational and technical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS) and limited access to our email accounts. No method of transmission or storage is completely secure.

10. Your rights

You may ask us to:

• tell you what personal information we hold about you and how we have used and shared it;
• correct information that is inaccurate or incomplete;
• delete your information, where we are not required to keep it; and
• stop using your information, by withdrawing your consent.

This website is intended for organizations and professionals. It is not directed to children, and we do not knowingly collect personal information from anyone under 16.

We may update this policy as our website or services change, or as the law changes. We will post the new version here and change the “Last updated” date. If we make significant changes, we will make them clear on this page.
